Quality Systems Management Associate

Job Summary:

As a QA Systems Management Associate at Ole Mexican Foods, you will play a crucial role in maintaining and enhancing the quality assurance processes across the organization. Your responsibilities will include ensuring the accuracy and regular updating of the corporate database and customer portals, facilitating the implementation of QA policies, and supporting compliance initiatives. Additionally, you will contribute to the development of QA policies, maintain key performance indicators (KPIs), and assist with audits and corrective actions. Your role will extend to training QA staff, updating databases, and providing essential support to various departments within the organization.

Key Responsibilities:

  1. Data Management:

  • Maintain and update the Ole Mexican Foods Corporate database and customer portals regularly.
  • Collect data entry information and enter it into customer portals.
  1. Policy Deployment:

  • Assist in updating and deploying corporate policies to ensure compliance with Ole requirements.
  • Contribute to the development of QA policies in the OLE-QMS document control module.
  1. Quality Assurance:

  • Identify and update critical-to-quality attribute measurements in the database.
  • Log QA KPIs, review data, and create trends and reports based on data mining.
  1. Special Studies and Programs:

  • Collaborate on special studies with the Quality Assurance and Marketing Department.
  • Ensure regular testing of the Traceability Corporate Program and update recall information.
  1. Audit Preparation and Documentation:

  • Assist with GFSI and Gluten-Free Plants Audits, ensuring facilitation of required audit materials.
  • Organize, update, and maintain QA shared databases in an organized manner.
  1. Document Control and Training:

  • Administer FDA registrations bi-annually for all Ole facilities.
  • Train QA and QC staff on database usage, new devices, and other required training.
  1. Specifications and Compliance:

  • Provide updated specifications to the Marketing Department for product development.
  • Maintain customer documentation requirements and update Raw Materials and Finished Product Specifications.
  1. New Products and Change Requirements:

    • Create new item specifications in the specification module and communicate effectively with designated plants and departments.
    • Collect and maintain finished product attributes data for the Atlanta QA Department and Corporate.
  2. Training of QA Staff:

    • Train QA and QC staff on QA department databases and new devices.
    • Assist with other tasks as required by QA Corporate Coordinator, VP of Sales, VP Operations, and/or the Director of QA.

Requirements:

  • Excellent verbal and written communication skills.
  • Bachelor’s degree required.
  • Bilingual (English and Spanish) preferred.
  • Proficiency in Microsoft Word, Excel, and Access.
  • Understanding of basic applied and theoretical statistics.
  • Ability to lift 40 pounds.
  • Friendly, cooperative, and professional attitude.
  • Strong people skills and organizational abilities.
  • Ability to implement programs and perform tasks to keep the QA program up to date.
